Who we are
Cool Wave Car Wash (“Cool Wave,” “we,” “us,” “our”) is owned and operated by Cool Wave LLC, a Virginia limited liability company. We operate four car wash locations in Hampton Roads, Virginia. You can reach us at 757-269-0200 or through our contact page.
What we collect
- Information you give us — name, mobile phone number, email address, vehicle information, and payment details when you sign up for a wash, the Unlimited Club, or our SMS list.
- Information from your visit — IP address, browser type, pages viewed, and the date/time of access. We use this for site reliability and basic analytics.
- Information from third parties — payment processors (Stripe, NXT Wash) confirm your transactions, and SMS providers (Telnyx) confirm message delivery. We do not buy customer lists.
How we use it
- To provide the services you signed up for (washes, memberships, gift cards, redemption codes).
- To send you transactional messages (receipts, code confirmations, membership updates).
- To send you marketing messages only if you opt in — by texting a keyword to our number, by checking a consent box on our site, or by signing up at one of our locations.
- To respond to questions you send us through chat, SMS, email, or phone.
- To improve the site, the wash experience, and our customer service.
SMS / Text messaging
When you opt in to our SMS list, you agree to receive marketing text messages from Cool Wave Car Wash at the number you provided, including messages sent by an autodialer. Consent is not a condition of purchase. Message and data rates may apply. Message frequency varies. You can reply HELP for help and STOP to cancel at any time. We honor STOP requests immediately and never sell or transfer mobile numbers to third parties for their marketing.
Categories of SMS we may send: free-wash code delivery, promotional offers, service reminders, location updates, weather-driven campaigns. Each program operates under the consent you provided when you opted in.
Who we share with
We share your information only with service providers we use to operate the business. We do not sell your data. Specifically:
- Payments: Stripe and NXT Wash (POS / membership system).
- SMS delivery: Telnyx (messaging provider).
- Hosting: Cloudflare Pages (this website).
- Email: our email service providers when we contact you about your account.
- Legal: we will disclose information if required by law or to protect our customers, employees, or property.
How long we keep it
Customer records, including SMS opt-in audit data, are retained for as long as you are a customer plus the period required by law (generally 4 years for tax and consumer-protection records). You can ask us to delete your information at any time, subject to legal retention requirements.
Your choices
- Opt out of SMS marketing — reply STOP to any of our messages.
- Opt out of email marketing — click the unsubscribe link at the bottom of any email.
- Request a copy of your data, or ask us to delete it — contact us.
- If you are a California resident, you have additional rights under the CCPA. Contact us to exercise them.
Children
Our site and services are not directed to children under 13. We do not knowingly collect personal information from children.
Security
We use industry-standard safeguards (encrypted connections, access controls, regular reviews) to protect your information. No system is perfectly secure; if you suspect your information has been compromised, please contact us immediately.
Changes
We may update this policy from time to time. The “Effective” date at the top tells you when it last changed. Material changes will be highlighted on the site or sent to you by email or SMS if you have opted in.
